The evidence pack
Reference letters
Each employer reference letter should be:
- On official letterhead of the cultural institution, gallery, museum, festival, or arts company
- Signed by a senior person (Board Chair, CEO, Artistic Director, HR Director) with their position
- Dated within 3 months of lodgement
- Specific about your dates of employment (DD/MM/YYYY format)
- Specific about your title — Director / CEO / General Manager / Executive Director / Festival Director
- Specific about the organisation's size (FTE, annual budget, audience / visitor numbers, programmes)
- Specific about reporting line and direct reports
- Specific about hours per week (full-time)
- Detailed about the duties — mapped to the ANZSCO task profile
Duties to evidence
Map your reference letters to all of these where they apply:
- Strategic leadership — strategic plan ownership, board / governing body reporting, vision
- Artistic / programming oversight — annual programme approval (often in partnership with Artistic Director / Curator), commissioning, partnerships
- Financial management — annual budget ownership (typically AUD 2M-100M+), capex, philanthropy strategy, government funding
- Workforce management — direct reports (typically Heads of Programming, Marketing, Development, Operations, Finance), performance, succession
- External engagement — board / patrons, donors, government funders (Creative Australia, state arts councils), media
- Compliance — ACNC charity governance, audit committee, NDIS-Worker-Screening (where relevant), Working with Children Check (for youth-arts contexts)
- Audience development — programming-and-marketing alignment, accessibility, education programs
- Capital projects — building / venue developments, capex business cases
Supporting evidence
Beyond the reference letters, attach:
- Tax records confirming employment
- Salary slips for the period
- Employment contract showing your appointment terms
- Org charts showing your reporting line and team
- Strategic / business plans you authored
- Annual reports citing your leadership
- Performance reviews
- Continuing professional development records
- Industry awards / recognition

Common rejection patterns
"Curator / artist, not administrator"
If your role is primarily artistic / curatorial without management scope, the assessment may be downgraded. ANZSCO 139911 needs organisational management — staff, budget, governance.
Fix: emphasise the management responsibilities. Many gallery directors are also curators — make sure the management is presented as the dominant role.
"Single-program / single-event coordinator"
Single-program coordinators may be assessed at a lower skill level. ANZSCO 139911 needs sustained organisational leadership across multiple programmes / venues / years.
"Title without substance"
Titles like "Director" alone are not enough. VETASSESS reads the duties. Specific FTE counts, budget figures, audience numbers, programme inventory, and outcomes strengthen the case.
"Volunteer / honorary role"
Voluntary board roles, even significant ones, do not count as employment for VETASSESS. The case must be built on remunerated, full-time-equivalent employment.
"Family / informal organisation without governance"
If you ran an informal arts collective without external regulator oversight, board governance, or recognised funder relationships, VETASSESS will scrutinise harder.
"Less than 20 hours per week effective"
Part-time consulting, fractional festival directorships, or supplementary roles may be discounted.
The five-year window
VETASSESS counts post-qualification employment at the required skill level within the last five years from the date of application.
