The evidence pack
Reference letters
Each employer reference letter should be:
- On official letterhead of the gym / chain
- Signed by a senior person (Owner / Regional Manager / GM / HR Director) with their position
- Dated within 3 months of lodgement
- Specific about your dates of employment (DD/MM/YYYY format)
- Specific about your title — Club Manager / Centre Manager / Studio Owner
- Specific about scope (member count, FTE, annual revenue, classes offered)
- Specific about hours per week (full-time)
- Detailed about the duties — mapped to the ANZSCO task profile
Duties to evidence
Map your reference letters to all of these where they apply:
- Operations management — daily operations, member experience, group class scheduling
- Financial management — annual budget ownership, membership revenue, PT revenue, retail revenue, capex
- Workforce management — trainers, instructors, reception, cleaners, with Fitness Industry Award compliance
- Equipment maintenance — cardio, strength, functional, AED safety
- Compliance — Safe Work Australia WHS, Australian Consumer Law (membership contracts), state fitness industry codes, AUSactive compliance for trainers
- Member retention — onboarding, churn analysis, loyalty programs, online review management
- Marketing — social media, partnerships, community events
Supporting evidence
Beyond the reference letters, attach:
- Tax records confirming employment
- Salary slips for the period
- Employment contract showing your appointment terms
- Org charts showing your reporting line and team
- Sample gym P&L summaries (anonymised)

Common rejection patterns
"Trainer / instructor, not manager"
If your role is delivering personal training or group classes without P&L / staff hiring authority, that's typically Fitness Instructor (452111) at Skill Level 3-4 — different code.
"Title without substance"
Generic descriptions of "running the gym" without specific member counts, FTE, revenue, or financial figures get downgraded.
"Less than 20 hours per week effective"
Part-time or fractional roles may be discounted.
The five-year window
VETASSESS counts post-qualification employment at the required skill level within the last five years from the date of application.
